Summary
Purpose of the Role To perform a high-quality reception and administration service, ensuring patient satisfaction and maximum contribution to practice efficiency and effectiveness in line with practice policies. Establishing and maintaining positive working relationships with all members of the team and our patients is fundamental to this role. Key Responsibilities Reception duties: Greet and direct patients and visitors in a courteous and professional manner Answer telephone calls promptly, dealing with queries and routing calls appropriately Book, amend and cancel appointments as requested by patients and clinicians Manage the appointment system, including monitoring urgent and emergency slots Receive and process repeat prescription requests Administrative duties: Maintain and update patient records accurately on the clinical system (SystmOne) Process incoming correspondence, referrals and tasks in a timely manner File and retrieve patient notes and documentation as required Assist with the opening and closing procedures of the practice Support the practice manager and clinical team with ad hoc administrative tasks Patient experience: Handle patient complaints and concerns sensitively, escalating to the appropriate member of staff Promote a positive patient experience at all times Maintain strict confidentiality in accordance with GDPR and practice information governance policies
