We are seeking an organised, proactive, and highly motivated Office Administrator to join our growing team. This is a fast-paced role within a busy construction, maintenance, and facilities management environment where no two days are the same.
The successful candidate will be responsible for supporting the day-to-day operations of the business, liaising with multiple clients, coordinating works, managing documentation, and ensuring that projects run smoothly from start to finish.
This role would suit someone who thrives under pressure, enjoys solving problems, and can adapt quickly when priorities change. The ability to think logically, communicate effectively, and react positively to changing circumstances is essential.
Key Responsibilities
Managing incoming calls, emails, and client enquiries.
Scheduling and coordinating engineers, contractors, and site visits.
Updating internal systems with job information and progress updates.
Preparing quotations, reports, and client correspondence.
Maintaining accurate records and project documentation.
Liaising with clients, suppliers, contractors, and residents.
Monitoring ongoing works and ensuring deadlines are met.
Assisting with procurement and ordering materials.
Supporting the management team with administrative duties.
Handling multiple projects and tasks simultaneously.
Providing excellent customer service to clients and stakeholders.

Essential Skills & Experience
Previous administration or office-based experience.
Excellent organisational and time management skills.
Strong written and verbal communication abilities.
Good working knowledge of Microsoft Office (Word, Excel, Outlook).
Ability to prioritise workloads in a fast-moving environment.
Strong attention to detail.
Ability to think logically and solve problems independently.
Confident dealing with multiple clients and competing priorities.
