Summary
Responsible for: Maintaining on-site security, automated systems monitoring, and overnight operational administration.
Purpose of Post:
To provide robust physical security and patrol coverage for the host satellite premises, while concurrently serving as the night-shift Controller. This role utilises automated systems to monitor workforce welfare and compliance, manages overnight operational communication, and executes key administrative tasks to support the Daytime Operations team. All duties must be carried out in strict accordance with company procedures and British Standards.
Key Responsibilities:
Host Site Security & Patrolling
Physical Guarding: Ensure the total security of the host client's premises, administrative areas, and the satellite operations hub.
Patrol Execution: Conduct regular, scheduled, and random internal/external security patrols of the static site to deter trespass, detect security breaches, and mitigate safety hazards.
Incident Response: Act as the first point of contact for on-site incidents, intruder alarms, or fire alarm activation's, escalating to emergency services and senior management as required.
Night Operations & Systems Monitoring
Automated Workforce Monitoring: Monitor personnel time, attendance, and welfare check calls using the company’s Timegate Software in line with industry compliance.
Fleet & Response Tracking: Monitor Mobile Response units via the company’s vehicle tracking system and maintain phone communication to ensure safety and lone-worker compliance.
Incident Log Management: Maintain the digital Operations Room occurrence logs, ensuring clear, accurate chronological records of all overnight activities.
Escalations & Contingencies: Manage out-of-hours client requests or emergencies, including the overnight reorganisation or allocation of staff if urgent operational demands arise.
Daytime Admin Support (Overnight Processing)
Data & Database Maintenance: Amend, update, and clean company databases, nominal rolls, and operations registers to ensure the daytime crew has accurate data ready for start-of-business.
Documentation & Compliance Prep: Formulate and update Operational Files, including site surveys, site plans, key registers, and mobile patrol run sheets.
Trackers & Reporting: Update and maintain monthly call-out trackers, non-conformance systems, and customer feedback data to streamline senior management reporting.
Archiving & Compliance: Manage operational filing, file archiving, and the safe, secure destruction of sensitive operational documentation in accordance with data protection procedures.
Vehicle Fleet Administration: Process and log daily vehicle check sheets; track and flag upcoming vehicle servicing and maintenance requirements.
Person Specification & Requirements:
Valid SIA License (Security Guarding/ Door Supervisor or Close Protection).
Strong IT literacy, with experience using workforce management systems (ideally Timegate) and tracking software.
Excellent administrative skills with high attention to detail for data entry and report preparation.
Ability to work independently under minimal supervision during night hours, balancing physical security duties with desk-based tasks.
Clear and professional communication skills for handling out-of-hours client or staff escalations.
