Summary

About the Role:
As part of the Business Support Team, and with guidance from your mentor, you will support the maintenance of learner records, assist with file checks and audits, and work collaboratively with colleagues across teams to help meet the requirements of multiple contracts. You will be supported to develop an understanding of funding rules and sector guidance as part of your learning.
This role provides hands-on experience in business administration within a supportive environment, alongside structured training and the opportunity to achieve a recognised qualification. You will receive focussed support to build your skills, confidence and knowledge, with increasing responsibility as you progress through the apprenticeship.

Key Responsibilities
• Be responsible for the compliance checking and processing of all documents relating to the learner journey, across all contracts.
• Carry out comprehensive digital file audits and raise non-conformities as required.
• Follow up on non-compliant paperwork to ensure timely completion.
• Accurate completion of both online forms and paperwork.
• Monitor the central email inboxes and provide support across the organisation.
• Assist with the responsibilities of the Registrations and Certification Officer during holidays and as required.
• General use of Microsoft Word, Excel, Power Point, Outlook and Teams.
• General office duties.
• Deal with external organisations, e.g. Working Wales, Jobcentre Plus.
• Reception cover for lunch, annual leave and sickness.
• Take responsibility for, and be held accountable for the security, condition, and the upkeep of your working environment including public areas, classrooms, workshops and all equipment used in the course of your employment.
• Ensure the integrity, security and confidentiality of information used as part of your role and prevent access to it by unauthorised persons by both internal and external means.
• Manage and record your own professional development in line with the Company’s Business Plan and Staff Development Plan.
• Promote the commitment to Safeguarding in line with the Safeguarding Children and Vulnerable Adults Policy and Procedure.
• Assist in the Self-Assessment process and the achievement of the resulting action plans within your role as Business Support Apprentice

Other Duties
• Undertake any other duties as deemed appropriate by the Managing Director and commensurate with the level of the post.
• Adhere to all company policies and procedures, including Equality and Diversity and Health and Safety.
• Undertake appropriate training and development as required.
• Participate in Performance Review and Development Scheme.
• Adhere to the company environmental policy and guidelines and undertake tasks in a sustainable manner.
• To actively keep updated with the company’s services and programmes.
• As appropriate to your role you will work to the Common Inspection Framework, ISO: 9001:2015, Investors in People, ISO 27001 and other quality standards as required by the company and its partners.
• Recognition and regard for observing confidentiality.

Qualifications and Skills
You will be expected to undertake an apprenticeship programme in Business Administration, developing skills through structured learning alongside hands-on experience in the role, whilst working towards an accredited qualification.
Essential
• Good communication and interpersonal skills, including excellent written and spoken English
• Good working knowledge of IT systems including Database, Spreadsheets and Word Processing
• An eye for detail and compliance
• A positive attitude to work
• The ability to adapt to a varied workload using multiple systems and platforms
• Willingness to learn and adopt AI assisted technologies to improve efficiency and accuracy
• The ability to prioritise and organise workload
• Be able to work independently and as part of a team
• Be able to use own initiative appropriately and be aware of when it is appropriate to seek guidance
• Relevant IT qualifications to Level 2 or above
• Be willing to undergo a Disclosure & Barring Service check
• Competency with regard to Safeguarding
Desirable
• Knowledge of MAYTAS/BUD
• Previous administration experience
• Welsh Speaker
