As an Administrator within the Therapeutic Community (TC) at HMP Dovegate, you’ll play a vital role in supporting the smooth day‑to‑day operation of the service. You’ll work closely with the TC management team, clinical leads and external partners to ensure high‑quality administrative support that meets contractual, governance and audit requirements.
This is a fast‑paced role requiring strong organisation, discretion and the ability to adapt to changing priorities. Your work will directly support therapeutic delivery, governance activity and positive outcomes for residents.

What you’ll do as an Administrator
You’ll be entrusted to:

- Ensure Therapeutic Community administration duties are covered daily.
- Collate data for reports, therapy governance meetings and audits.
- Maintain diaries for the Clinical Lead and Community Staff Team.
- Process referrals in line with set work processes.
- Manage all aspects of Community Case Conferences, Therapy Reviews and End of Therapy Boards, ensuring accurate records are maintained for audit purposes.
- Send reminders to support timely completion of reports in line with contract requirements.
- Plan and organise meetings, ensuring all preparations are completed in advance.
- Take accurate meeting minutes, highlighting action points and delegating as required.
- Provide typed documents to a high professional standard.
- Manage and review filing systems and office processes regularly.
- Ensure office stationery and equipment levels are maintained.
- Support the promotion of the Therapeutic Community, including arranging internal and external Open Days.
- Manage ad hoc projects as required.
- Ensure all mandatory Serco Essentials and required training are completed and kept up to date.

Communication and collaboration
In this role, you will:

- Maintain strict confidentiality in relation to the Clinical Lead and resident information.
- Communicate effectively with internal teams and external agencies, ensuring information is shared appropriately.
- Work using your own initiative to direct communications to the correct recipients.
- Actively support colleagues and contribute positively to team meetings.

Supervision and training

You’ll be expected to:
- Use staff team meetings and feedback constructively.
- Complete all mandatory annual training, including:
- Conditioning Training
- Personal Protection
- SASH (Safer Custody) Training
- Serco Essentials
- Hostage Guidance Notes (Read)

Does this sound like you?
You’ll be a great fit for this role if you have:

- GCSE‑level education in English and Mathematics (or equivalent).
- A strong administration background, ideally within a therapeutic or custodial setting.
- Excellent IT skills, with advanced use of Microsoft Word and Excel and at least intermediate PowerPoint knowledge.
- Strong written and verbal communication skills, with the ability to produce documents suitable for external stakeholders such as parole boards and therapy panels.
- The ability to work independently, prioritise tasks and remain focused under pressure.
- A flexible, adaptable approach in an environment with changing priorities.
- Strong relationship‑building skills with residents, colleagues, management teams and external visitors.
