Crynodeb
Working in a busy department of Worthing Theatres & Museum which operates across five venues, the postholder will be flexible, adaptable and have a positive attitude and outlook. They will work alongside and deputise for the Director of Finance and IT to ensure financial processes run smoothly for the Charity.
Main Duties, Tasks and Responsibilities
Manage the work of the Finance team to ensure that agreed departmental and personal objectives and KPIs are achieved and all tasks and procedures are completed on time for month end and year end reporting purposes.
Ensure department procedures are in place and updated as required.
Work on/oversee completion of regular accounting tasks including:
Year end & Audit
Oversee completion of payroll.
Projects and Grants / Reserves Accounting
Fixed Assets & Depreciation
VAT/Tax Relief & Gift Aid
Insurance
Utilities
Business Rates & BID contributions
Purchase ledger - second bank authority on weekly payments
Month end procedures
Other Statutory Duties
Systems
Act as system owner and manager of the financial management systems, leading on improvements to processes and systems.
Work with the wider team to ensure all our systems provide accurate and timely financial information.
Worthing Borough Council partnership:
Attend meetings as required.
Assist as required in liaising with Council on day-to-day financial aspects of the WBC/WTM Management Agreement, utilities and reconciliation of finances for joint projects.
Management Accounts and Budget Setting
Work with and support the Director of Finance & IT in the preparation of management accounts, cashflow, forecasts & budgets for Finance & Audit Committee Meetings and Board meetings.
Meet monthly with budget holders
Attend F&A, Charity Board, Trading Subsidiary Board and other committee meetings as required to present reports in the absence of the Director of Finance.
Deputise for the Director of Finance and IT:
In the absence of the Director, manage the IT Systems Coordinator and oversee the IT SLA.
Act as DPIO (Data Protection Information Officer)
Work with and support the Executive Director.
Prepare management accounts, budgets and reports for Charity Board, Trading Board and Subcommittee meeting in the absence of the Director.
Other Duties
Understand, adhere to and keep up to date with charity and general financial regulations and legislation. Stay up to date with technological advances.
Regularly review and update the Expenditure Policy for approval by the Director of Finance and IT.
Team Management
Line manage and develop the Accountant, Finance Officer and Finance Assistant.
Identify training and development needs for the team to ensure that the department is resilient and agile to meet changing business needs.
Set clear performance expectations, conduct regular one-to-ones and annual reviews.
Foster a culture of trust, accountability and collaborative working ensuring the team deliver an excellent finance service across the organisation.
