Summary

We are currently recruiting for an Administrative Officer to join our Operations Delivery team, based at Falkirk Sheriff & JP Court on a full time, fixed term basis for 12 months with the possibility of extension and/or conversion to permanency thereafter. This is a fully on-site role based in court, offering the opportunity to build a long-term career within a stable and respected public service. As an Administrative Officer, you’ll play a key role in supporting case progression and ensuring the smooth running of daily operations.

Working closely with colleagues and court users, you’ll gain valuable, hands-on experience in a structured environment, with access to ongoing training, clear development pathways, and the benefits of public sector employment—including job security and a competitive pension.

What you’ll do:

Proactively manage diaries.
Arranging and supporting internal and external meetings through booking meeting rooms, issuing calendar invites and arranging catering (if required). Collating, printing and issuing agenda and papers.
Coordinate travel and accommodation arrangements through internal systems.
Tracking and updating action points from meetings, ensuring clear communication and timely follow-up, and escalating outstanding matters as appropriate.
Accurately input management information data into spreadsheets, ensuring consistency and confidentiality are maintained.
Maintaining and updating business team spreadsheets.
Developing contact lists.
Monitoring completion of regular returns across the Sheriffdom, including but not limited to management information, staff survey action plans, and skills matrices.
Taking clear and accurate minutes at meetings (including potential travel across Sheriffdoms), ensuring outputs are reflective of discussions.
Preparing meeting pack folders for the Director.
Monitor the Director Operations Delivery mailbox, responding to or escalating queries in a professional, and timely manner.
Undertaking additional duties as required by the Line Manager or Director.
