JOB DETAILS Job Title: Receptionist/Administrator Hours of Work: tba Base: Allt Goch Medical Centre, Lon-y-Becws, Flint CH6 5UZ ORGANISATIONAL ARRANGEMENTS Accountable to: 1. (Managerially) post holder is directly responsible to Practice Manager 2. (Reporting) post holder reports to on a daily basis Supervisor/Administrator 3. (Professionally) post holder is accountable to Senior Partner in respect of professional issues, if applicable. JOB PURPOSE To provide a point of contact for patients and act as communicator between patients, doctors and other practice staff and to maintain patient electronic/paper records. The principal duties of the post involve assisting the GP by facilitating access to the doctor in an organised, efficient and caring manner. In addition, providing efficient and organised administrative support in reception in line with practice requirements and guidelines. The applicant should be flexible and willing to work on a rota basis to provide maximum cover for reception, reception is staffed between 8.00am and 6.30 pm DUTIES AND RESPONSIBILITIES 1) To act as liaison between the doctors/nurses and the patients by maintaining electronic patients appointments system to include, daybook and telephone triage. Maintain clinics by contacting patients and booking relevant appointments as directed by the clinician/Supervisor. 2) Maintain patients electronic/paper records, liase with patient Data at the LHB. 3) Maintain patient records to ensure information is accurate and up to date for future reference and complies with the Data Protection Act. KEY RESPONSIBILITIES: 1. Provide reception desk duties as required. This involves ringing patients to book appointments for clinics, entering data onto the computer system, including message taking. 2. Deal with any telephone enquiries in a respectful and friendly manner, ensuring correct details are recorded and forwarded to relevant personnel. 3. Maintain a computerised appointments register. 4. Relay messages and home visits to appropriate staff/GPs via the IT system. 5. Provide and issue repeat prescriptions on request via EPS (electronic prescribing System). 6. Maintain an accurate filing system this includes scanning of documents onto patients records. 7. Entering read codes onto patients records as necessary from incoming documentation. COMPETENCE You are responsible for limiting your actions to those which you feel competent to undertake. If you have any doubts about your competence during the course of your duties you should immediately speak to your line manager / supervisor. RISK MANAGEMENT It is a standard element of the role and responsibility of all staff of Allt Goch Medical Centre that they fulfil a proactive role towards the management of risk in all of their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards. RECORDS MANAGEMENT As an employee of Allt Goch Medical Centre, you are legally responsible for all records that you gather, create or use as part of your work within the Organisation (including patient health, financial, personal and administrative), whether paper based or on computer. All such records are considered public records, and you have a legal duty of confidence to service users (even after leaving the practice). You should consult your manager if you have any doubt as to the correct management of records with which you work.
