We are seeking a proactive and customer-focused Workplace Coordinator to be responsible for the provision of an efficient and cost-effective facilities service within a newly refurbished London head office.
The role is fully client-facing and plays a key part in delivering an exceptional FM experience within a fast-paced central London environment.
Job Description
We are looking for an individual who can operate confidently on site, acting as the central point of contact for Facilities Management while ensuring Health & Safety, security, operational delivery and workplace standards are consistently maintained.
This role requires strong organisational skills, attention to detail and the ability to work independently under pressure.
Key Responsibilities
Deliver an exceptional Facilities Management service for the client’s London head office.
Liaise with ISS maintenance to monitor PPMs, reactive works and manage external contractors.
Maintain site security procedures, including incident logs, Business Continuity Plans and disaster invocation documentation.
Support the FM team in meeting budgetary targets, including annual cost-saving reviews of suppliers and services.
Act as the main point of contact for site-based FM queries and general office enquiries.
Manage site inductions for staff and contractors, including H&S and security documentation and records.
Oversee meeting room management, AV equipment, office supplies and internal space movements.
Maintain accurate site documentation, reports, training records and monthly occupation data in support of the ROM.
Maintain a healthy, safe and secure working environment in compliance with all Health & Safety legislation.
Professional and Personal Competencies/Qualifications
Proven experience in a customer-facing, site-based role within a fast-paced environment.
Strong communication skills, both written and verbal.
Confident working independently, managing multiple priorities and working to deadlines.
A proactive, positive team player who contributes positively to team dynamics.
Computer literate with the ability to use a range of Microsoft packages.
Experience working in central London environments with the ability to adapt to changing situations.
Ideally holding an IOSH certificate, although training can be provided for the right candidate.
