The Honours and Appointment Secretariat collects your data through the website when you setup an account to nominate someone, save an incomplete nomination form or submit a complete nomination form.

We collect anonymous site usage information including quantitative data for both registered users and non registered users browsing all publicly available web pages.

We also keep a record of inbound and outbound communications with registrants through other channels including email, post and telephone. These records include nominations not done through the website.

How we use your information

We use data in the following ways:

• So various government departments can check all nominees to make sure they’re suitable for an honour. This may include checks by HM Revenue and Customs (HMRC).
• So the honours committee can review all nominations and decide on the honours to be awarded.
• To publish the announcement of any honour granted.
• To make improvements to the content and usability of the website.

Where your data is held and for how long

The system holding nomination data is location in the UK and is reviewed in accordance with agreed Government standards.

We keep the data as long as is appropriate to do so and these will be published as a record to which the public has access.

We keep our data retention periods under review and will update this section should we make changes.

Contacting you

Nominators will receive service emails from the Honours and Appointments Secretariat to the email address that you provide to us. These service emails including:

• Confirmation of setup of your account.
• Password reset information when a request has been made to reset the password for your account.
• Confirmation of your nomination.

We will also contact you by email, telephone or by post if required as part of the administrative activities related to your nomination.

Accessing your information

You have a right to access a copy of the personal data we hold about you. This is sometimes known as a ‘full access request’. If you would like to make a request to access the personal data we hold about you, please send a £10 fee and a written request to Honours and Appointments Secretariat, 1 Horse Guards Road, London SW1A 2HQ, United Kingdom.
